Proper availability management ensures patients can book appointments that work for both of you.

Setting Office Hours

  1. Log into your provider dashboard
  2. Navigate to "Schedule" or "Availability"
  3. Set your working hours for each day
  4. Define different hours for different locations

Blocking Time Off

Keep your calendar accurate:

  • Block lunch breaks and personal time
  • Mark vacation days as unavailable
  • Block time for meetings or administrative work
  • Set recurring blocks for regular commitments

Adding Appointment Types

Define the types of appointments you offer:

  • New Patient Visit: First-time appointments (typically longer)
  • Follow-Up: Returning patient appointments
  • Annual Physical: Yearly wellness exams
  • Telehealth: Video visit appointments
  • Procedure: Specific procedures or treatments

Setting Appointment Duration

For each appointment type, specify:

  • Duration (15, 30, 45, 60 minutes, etc.)
  • Buffer time between appointments
  • Preparation time if needed

Syncing with Your Calendar

Avoid double-bookings by syncing:

  • Connect your Google Calendar
  • Sync with Microsoft Outlook
  • Integration with EHR systems
  • Two-way sync keeps everything updated

Managing Multiple Locations

If you practice at multiple locations:

  • Set different hours for each location
  • Patients will see availability by location
  • Block days when you're at other offices

Last-Minute Availability

To fill cancellations:

  • Open up same-day slots when available
  • Patients searching for urgent care will find you
  • Mark slots as "same-day only" if preferred
